Free CRM for Small Business: Limits to Check First
A free tier is only useful when its boundaries fit your sales process and you know what growth will cost.
Check what “free CRM” actually means
Free plans vary and change over time. A tier may cap users, contacts, pipelines, automation runs, file storage, or reports. Some capabilities may require a trial or paid upgrade. Look at the vendor’s current pricing and documentation rather than relying on old comparison tables.
Check whether limits apply per user, workspace, or account; whether billing details are required; and what happens when a limit is reached. Confirm support availability, permission controls, and any restrictions relevant to your customer data. A zero subscription price does not make setup, administration, or migration free.
Test the plan with a small sample
Use test contacts, not your entire customer database. Add a contact, record an interaction, assign a follow-up, move a sample opportunity, and run the report you expect to use. Ask another teammate to repeat the steps without help.
Test export early. Confirm whether contacts, notes, activities, and custom fields come out in a usable format. Also verify any integrations you depend on are available on the free tier. BetaPick lists Attio as one product to explore; current plan eligibility and limits must be checked with the vendor.
Compare it with the broader CRM selection guide and the software comparison checklist.
Know your upgrade trigger in advance
Decide what would justify paying: a user cap, an essential permission feature, automation that removes manual work, or reporting the team needs to make decisions. Estimate that cost before the limit becomes urgent. Compare annual versus monthly terms and include any add-ons.
Keep a basic exit plan even when starting free: export data periodically, document the workflow, and avoid storing information you cannot readily retrieve. If the tool stops fitting, switching is easier when the data and process are understood.
Free CRM questions
Is a free CRM really free?
The subscription may be free at a particular usage level, but verify caps, trials, required billing information, and paid add-ons.
Can a small business stay free forever?
Possibly, if needs remain within the plan. Review terms and limits periodically because plans can change.
Is a spreadsheet better than free CRM software?
For a small, single-owner contact list, it may be simpler. A CRM is useful when shared history, reminders, or ownership are becoming unreliable.
